Understanding Fees for Tournament Payments in Event Caddy

Know your finances and what fees are applied and where.

When running a tournament in Event Caddy, there are a few different fees you may see when participants register or make purchases. Knowing what each fee is, who pays it, and where it appears can help you manage your finances and communicate clearly with players and sponsors.

 


1. Credit Card Convenience Fee

What it is:
A flat fee added to a registration when a participant pays by credit card. This is separate from the processing fees charged by Stripe or PayPal.

Typical amount:

  • $4 per registration (varies depending on plan and settings)

Who pays it:

  • Usually the participant (player or sponsor), not the tournament organizer

Purpose:

  • Helps support Event Caddy features and infrastructure, especially on Free plans

  • On Pro/Elite plans, it helps cover access to advanced tools like Live Scoring, Online Store, and SMS features

Notes:

  • You can choose to absorb this fee yourself so players are not charged

  • This fee is not the same as the credit card processing fee from Stripe/PayPal

2. Credit Card Processing Fee

What it is:
The standard fee charged by Stripe or PayPal to handle credit card payments.

Typical amount:

  • 2.9% + $0.30 per transaction (may vary)

Who pays it:

  • Deducted from the payment amount before it reaches your account

    • Example: A $100 registration may result in $96.80 being deposited after fees

Where you see it:

  • In Finances & Commerce → Event Transactions as a separate line item labeled “Credit Card Processing Fee”

Notes:

  • This fee is set by the payment processor and cannot normally be adjusted in Event Caddy

  • Participants do not see this fee; it is automatically deducted

3. Optional Custom/Checkout Fee

What it is:
An optional fee you can enable at checkout to help cover credit card processing costs. It is usually a percentage of the total transaction.

Who pays it:

  • The participant if the organizer enables it

Where to find it:

  • My Event → Event Setup & Settings

  • Can be displayed during checkout for participants

Notes:

  • This fee is optional and controlled by the tournament organizer

  • You can adjust the percentage to suit your event needs

Key Points to Remember

  • Even if participants pay the convenience or custom fee, processing fees still apply

  • Cash or check payments do not incur the convenience fee

  • Using Event Caddy, you can track all fees clearly in your Event Transactions report

  • Post-tournament, you can review fees and export reports to reconcile finances

Example:
If a player registers for $100 using a credit card:

  • $4 Convenience Fee (added to participant total, optional for you to absorb)

  • $2.90 + $0.30 Processing Fee (deducted from payment by Stripe)

  • Optional custom fee (if enabled) may also apply and is paid to you

This ensures you know exactly what funds will reach your account.
